| Description | In pursuance of their correspondent's letter of 4 February last, the Secretaries forward a list of the Sectional Committee for [gap left in original text], of which the correspondent was appointed Chairman, together with a copy of the Standing Orders relating to the reception and publication of papers as settled by the Council [not attached].
Suggests rules of procedure for carrying out the provisions of the standing orders; that the dates of the meetings of the Committees should be adhered to unless there be a good reason to the contrary; that summonses to the meetings should be issued from the Society's house by the Assistant Secretary not later than a week prior to the date of the meeting; that an agenda for each meeting be prepared by the Assistant Secretary and a draft forwarded to he Chairman three clear days before each meeting; that in the case of a paper being referred by the Secretaries to a Sectional Committee or its Chairman, immediate notice should be sent by the Assistant Secretary to the Chairman with listed particulars; that the minutes of each meeting be drawn by the Assistant Secretary in consultation with the Chairman, with a draft being sent to the Chairman for his approval and returned to the Assistant Secretary to be entered in a fair minute book and afterward returned to the Chairman for his information.
The Secretaries suggest the practice always observed in the Committee of Papers; that no Fellow should remain in the room during the discussion of a paper of which he is the author wholly or in part.
All the proceedings of the Committees should be regarded as strictly confidential and the Minute Books of the Committees will be considered confidential documents. All communications forwarding papers to referees should go out from the Society and the official reports be received at the Society. With this object the Secretaries propose to use the enclosed forms which will be signed by the Assistant Secretary [not attached]. |
